Mark Employee as Paid in HRM
Update the payment status of an employee’s payslip — confirming that salary has been processed and recorded.
🔐 Access Control
- Only Admin users or payroll staff with payment permissions can mark payslips as paid
- Payslips must be generated first — if not, follow this guide: 👉
🧭 Step-by-Step: Mark Payslip as Paid
1️⃣ Go to the Payslip Page
- Navigate to: HRM → Payroll → Payslip
- Select the correct Month and Year
- Scroll to the Find Employee Payslip table
2️⃣ Locate the Employee
- Use the Search bar or scroll to find the employee
- Confirm the Status is
Unpaid - In the Action column, locate the blue dollar icon 💲 labelled Click to Pay
3️⃣ Mark as Paid
- Click the Click to Pay button
- The system will:
- Update the employee’s Status to
Paid - Lock the payslip for further edits (if configured)
- Confirm the action with a success message or visual update
- Update the employee’s Status to
✅ This action does not send or download the payslip — it only updates the payment status
4️⃣ Optional Follow-Up Actions
Once marked as paid, you can still:
- ✉️ Send Payslip via Email — using the paper plane icon
- 📥 Download Payslip — using the green download icon
- 🧾 View Payslip — using the document icon
✅ Best Practices
- Always review the payslip before marking as paid
- Confirm salary components and net total are correct
- Use the Payslip View icon to preview before payment
- Avoid marking as paid prematurely — once confirmed, edits may be restricted
- Maintain audit logs for compliance and financial reporting
