Configure a Certificate of Experience in HRM
Create a personalised experience letter template using dynamic placeholders — ideal for offboarding, reference documentation, and employee recognition.
🔐 Access Control
- Only Admin users or staff with HRM setup permissions can configure experience letters
- From the Dashboard, use the side menu to navigate: HRM → System Setup → Certificate of Experience Settings
🧭 Step-by-Step: Configure a Certificate of Experience
1️⃣ Review Available Placeholders
Use placeholders to auto-fill employee data dynamically:
{app_name},{company_name},{employee_name},{date}{designation},{start_date},{branch}{start_time},{end_time},{total_hours}
These ensure each certificate is personalised without manual edits.
2️⃣ Edit the Experience Letter Template
Use the rich text editor to format your certificate. Example structure:
plaintext
Experience Letter
{app_name}
TO WHOM IT MAY CONCERN
{date}
This is to certify that {employee_name} served as a {designation} at {company_name}, {branch}, from {start_date} to {end_time}, completing a total of {total_hours} hours.
During this period, their performance and conduct were satisfactory, and they contributed meaningfully to the organization.
We wish them success in their future endeavours.
3️⃣ Save the Template
- Click Save Changes to apply the template
- The system will use this format when generating experience letters for departing employees
✅ Best Practices
- Use placeholders for all variable fields to ensure automation works correctly
- Keep the tone formal, factual, and respectful
- Include role, duration, branch, and performance summary
- Review the template annually to reflect branding or HR policy updates
- Avoid hardcoding employee-specific data — rely on placeholders for consistency
