Send Invoice via Email
Deliver invoices to clients or vendors directly via email — with full control over message content, delivery status, and audit visibility.
🔐 Access Control
- Only Admin users or staff with invoice permissions can send invoices
- From the Dashboard, go to Invoice in the side menu
🧭 Step-by-Step Email Delivery
1️⃣ Locate the Invoice
- Use filters for Issue Date, Customer, Status, or Account Type
- Find the invoice in Draft status
- Click the Action button → View Invoice
2️⃣ Review Invoice Details
- Confirm all fields: client info, items, totals, due date, and tax
- If edits are needed, click Edit before sending
- Once ready, click the Send button
3️⃣ Instant Email Delivery
- The invoice is sent immediately using the customer’s saved email address
- No manual email composition is required
- The system uses your default invoice email template and branding
⚠️ Critical Setting: Email Notifications
To ensure invoices are delivered successfully, the Send Invoice Notification must be enabled in your Email Notification Settings.
If this setting is disabled, invoices will not be emailed — even if you click Send.
🔄 Post-Send Redirect
After sending, you’ll be redirected to the Invoice Detail page:
- Progress bar updates:
- ✅ Create Invoice: Completed
- ✅ Send Invoice: Completed
- ⏳ Get Paid: Pending
- Invoice status changes to Sent
- View Status shows whether the invoice has been opened
- You’ll see options to:
- Download Invoice
- Resend Invoice
- Apply Credit Note
- Send Receipt Reminder
- Add Payment
